Leonardo Hotels’ IT Team: “[We] don’t spend any time on printers anymore” thanks to Vasion Print

[Vasion Print] allows us to have a single management platform where we can review and set up printers. When we deploy a new printer, they just deliver the printer to the site, connect it to the network, add a driver, and provide the IP address. The process has been simplified dramatically.

The Summary
As part of a broader brand refresh and digital modernization initiative, Leonardo Hotels has been migrating its IT infrastructure to the cloud. They chose Vasion Print to help simplify management across geographically dispersed hotels, relieve IT helpdesk stress, and empower receptionists to better serve guests.
The Customer: Leonardo Hotels
Formerly known as Jurys Inn, Leonardo Hotels has 55 hotels across the UK and Ireland. While the local flair may vary, the homey feeling is the same at each location.

THE CHALLENGE
1
Disparate Systems and Integration Issues
With a lean IT team supporting hundreds of hotel staff across the UK and Ireland, Leonardo relies heavily on third-party vendors and scalable solutions to keep operations running efficiently. A cloud-first strategy has become central to their approach, especially when it comes to managing infrastructure remotely, securely, and without the need for on-prem hardware.
The challenges became even greater when the hotel group was acquired and they needed to integrate with new finance and HR software while keeping track of disparate printing servers across many locations. In addition to their own 55 locations, they now had to work with the 270+ locations across Europe that were part of the acquiring company’s hotel group.

The Struggle to Modernize Legacy Systems
Printing had become a consistent pain point because Leonardo Hotels was dealing with a legacy print server setup that left local properties with little control and the central IT team with lots of headaches. Driver issues, visibility gaps, and the inability to audit printing activity made the environment difficult to manage and very time-consuming.

“We’d always had issues with the printers, whether it was the drivers or user issues. It had become very time-consuming. We had to log on to the local print server to see what was going on. There was no auditing, no reviews, [and] no control of our print environment.”

Communication Breakdown Leads to Delayed IT Solutions
The pain from the poor print servers was felt most acutely at the reception desks, where printing is essential to delivering a smooth check-in experience. When a printer went offline, receptionists hesitated to report it because they knew it was so difficult to fix. Instead, they used a different printer until that one also stopped working. The delay in support impacted front-of-house service, and issues often went unreported until they became critical.
The Solutions
Integrating Into a Single Viewable Portal
Leonardo Hotels shifted to Vasion Print to integrate their printers from multiple locations, making them all visible on a single portal. Now the IT team can monitor printer status and proactively resolve any issues that arise.
The installation process was seamless, even with third-party vendors involved, and required minimal effort from the internal IT team. It’s also easy to integrate with the platforms used by the acquiring group’s IT team.

Updating Legacy Systems
To modernize their printing environment, Leonardo Hotels partnered with SOS and Vasion to deploy a new cloud-based printing solution. They’ve currently deployed Vasion Print across more than 200 printers and plan to scale to 250 and beyond.
Vasion Print provides centralized management, an intuitive interface, and faster printer provisioning. Setup time per printer dropped to just 10–15 minutes, and the cloud-native platform aligned perfectly with Leonardo’s overall IT strategy.

Improved Print Management Reduces Help Desk Requests and Improves Employee Experience
Moving to Vasion Print made an immediate difference to receptionists. The printers were more reliable, empowering the front-of-house staff to better serve guests. When printing issues did arise, the help desk was better able to pinpoint the problem and resolve it quickly. The help desk staff were not overwhelmed, so they could respond faster.
As a result, the team culture improved. Vasion Print’s effects rippled through the company to ease stress and improve team relationships.

“[Vasion Print] made it much easier for us to deploy our printers very quickly. It’s been a pretty simplified process now, as far as adding printers to the network.”

The Results
No More Support Tickets — Or Check-In Delays
The impact of Vasion Print was immediate and measurable. Leonardo Hotels decommissioned two legacy print servers, and support tickets related to printing dropped sharply — so much so that the IT team reported they “don’t spend any time on printers anymore.” The shift also resulted in a 25% reduction in time spent managing print infrastructure. Now that the IT team isn’t swamped with printing support tickets, they are solving more strategic, forward-looking issues and working on other modernization projects.
Front-desk teams also became more productive. With reliable printers and fewer interruptions, the reception staff can provide seamless service to guests. The overall check-in experience improved, and print management was no longer a bottleneck for the business.
Vasion Print has worked so well that Leonardo Hotels is considering additional Vasion products to add guest printing and web printing capabilities, get rid of a hybrid exchange server, implement scan-to-email options, and more. m

“I’ve kept track very closely on the trends in our printing and the number of issues that are reported to the help desk around printing. Those issues have nearly dropped off completely as a result of the Vasion solution.”
