Changing How We Think About Print Management

For a long time, printers were regarded as office equipment designed to put electronic content on paper. Print management consisted of loading paper and replacing toner cartridges. Fast-forward a few decades, and printers have now moved into the mainstream of the organization’s technology infrastructure, and print management has become a whole new dynamic.
Despite the drive toward a paperless society, there will always be a need for printing. For example, printing remains essential for sectors such as finance, healthcare, law, education, and logistics. In these industries, paper records are still widely used for compliance, auditing, archiving, and paperwork to send home with discharged patients.
Even in companies that use advanced technology systems, printed documents are often required as backups or for regulatory purposes. When deadlines are tight, relying solely on digital access can feel risky. That said, printing technology, hardware, and processes will continue to evolve.
The mechanics of the familiar File > Print process have remained the same over the years. However, the inner workings of getting information across all the different platforms and operating systems within a given company without data dropouts or system malfunctions, and in a form that a device can interpret and put on paper, are more complicated.
Print Management
The IT stewards on the company’s staff have always strived to keep print management technology and practices up to date and functioning well to alleviate device downtime by updating the infrastructure that supports printing. This isn’t always easy, given the frequent changes and updates to the print infrastructure.
For example, when the pandemic scattered the workforce to home offices and other remote locations, companies needed to expand their remote infrastructures, which required virtual private network (VPN) connectivity and proper authentication. VPNs facilitate file sharing, as well as application and printer access without IT support. With the increase in remote workforces, companies needed to ensure their networks could handle spikes in VPN traffic while maintaining secure printing in corporate networks.
Managing Large Printer Fleets
Many enterprises maintain hundreds of printers that must be monitored and managed like any other business IT asset. However, overseeing that many printers in a fleet can quickly get cumbersome and out of control.
- Business departments or even individual employees often purchase their own printers and connect them to their workstations, which IT may or may not know about.
- Printers throughout the organization are prone to drop off the radar (go offline or get moved), and it’s often difficult to locate these to get them back online.
- Deploying queues usually requires Group Policy Objects (GPOs) and scripting expertise. In the event users are allowed to connect to shared print queues, they may not know which queue they should connect to.
All of these scenarios require assistance from the IT staff, who may already be working on a stack of printing-related issues.
Server-Based Print Management
As the printer fleet grows, it becomes necessary to establish some measure of control over the printing infrastructure. Many organizations currently employ traditional print management centers that use one or more print servers. A common print-server-based printing architecture includes:
- Printer driver. Translator software installed on the user’s workstation converts the document’s data into a printer-specific language, so the printer understands how to render the text and images.
- Print spooler. An application on a print server that manages the printing process by temporarily storing print jobs in a queue before sending them to a printer.
- Network transmission. Encapsulates the print job data into data packets that are sent across the organization’s local area network (LAN) to the selected network printer.
- Print server. The server runs the print spooler service that sits between user workstations and physical printers. IT establishes a queue and then establishes a relationship between the printer driver and the queue. The server manages print queues, stores drivers, enforces permissions, and serves as the rendezvous point for all jobs in the environment.
- Network printer. Retrieves the incoming data at its assigned IP address and prints the contents.
A primary concern with traditional server-based print management is when there is a problem, it usually goes to the busy IT help desk, which, in addition to resolving service requests, regularly maintains patches or upgrades print servers to ensure systems have the latest technology, functionality, and security features. However, it’s not uncommon for server updates to interfere with or break printing workflows.
The traditional office environment has transformed into a hybrid and increasingly digital workspace. Because employees are splitting time between home and the office, IT crews are busily adapting to expanded networks and new security challenges, which make printer management more complex.
Modernizing Print Management
Printing has become a key part of a company’s operations. Workstations, printers, and admins all connect to a central control panel. The actual print jobs typically travel directly from the user's device to the printer over the local network rather than funneling through a server.
The main benefit of cloud print management is that it simplifies intra-organizational printing. Companies are moving to this model to:
- Eliminate print servers (along with the ongoing patching, increased capital expenses, unplanned printing outages, and time-consuming troubleshooting and resolving print-related issues).
- More easily support remote and hybrid work without VPN workarounds.
- Strengthen the security of all printing activities.
- Ease the IT department’s printer-related workload.
Cloud print management is beneficial for organizations of all sizes, regardless of the complexity of their network infrastructure. Government agencies, financial corporations, manufacturers, and healthcare organizations are prime examples. Quocirca’s Cloud Print Services Vendor Landscape 2026 Report revealed that 78% of organizations now use cloud print management either extensively (35%) or partially (43%), with a further 16% actively evaluating it, which underscores the scale of the opportunity for providers that can address cost, control, and security requirements.
Many of these institutions connect hundreds (if not thousands) of printers across multiple locations. The upside is that IT no longer needs to get involved with printer installation.
Artificial Intelligence Enters the Print Infrastructure
Artificial intelligence (AI) is rewriting the print management playbook. AI-enabled printing eliminates common frustrations that accompany traditional print management, including unplanned printer downtime, overstocked and wasted supplies, manual document handling, server management, and inefficient workflows.
The technology is changing business printing by making printers smarter, more automated, and easier to manage.
