BayWa r.e. is an international developer of wind, solar, and battery storage projects, with more than 6 GW of renewable energy brought online. Running a business at that scale takes global infrastructure, and the company's print environment had become one of the weaker links.
The Problems Were Hard to Ignore
BayWa r.e.'s print environment was large and inconsistent. Approximately 175 printers from Konica Minolta, Brother, and Xerox were spread across multiple continents. Five on-premises print servers sat underneath all of it, and a single outage on any one of them could disrupt printing company-wide. Every outage meant hours of troubleshooting, and administrative overhead and cost kept climbing with it.
Security added urgency. BayWa r.e. needed to protect sensitive documents from unauthorized access, which meant introducing Secure Release printing that could work across locations with different authentication requirements and integrate cleanly with Microsoft Entra ID.
The Fix Was Overdue
BayWa r.e. had already seen success with PrinterLogic in the United States, so the company decided to take the serverless, cloud-native model global. Because Secure Release introduced new requirements, the team ran a proof-of-concept first, validating secure release printing and Entra ID integration before committing to a full rollout.
Once validated, migration moved quickly. Approximately 170 of the company's 175 printers have now moved to the cloud-native platform, with no disruption to daily operations and zero manual interventions sinceāno server logins, no restarts.
Secure Release printing is now live, with the release method tailored to each location: PIN-based authentication, RFID badge release, or a mix. Entra ID integration ties authentication into BayWa r.e.'s existing security architecture, and sensitive print data stays inside the corporate network throughout.
Rolling out Secure Release also meant deploying the Control Panel Application across a wide range of printer models and firmware versions. Where older firmware caused friction, the IT team worked through system logs with Vasion Support to establish standardized configurations, and deployment now often takes just a simple activation inside the portal.
The Results Are the Story
The impact showed up everywhere the old infrastructure had been causing pain.
- Helpdesk tickets are down approximately 70%. VPN issues and lost print configurations, once constant sources of support tickets, were effectively eliminated.
- Approximately 170 printers migrated globally with no disruption. The rollout spanned three continents and multiple manufacturers without an outage.
- Five print servers eliminated entirely. No more server logins, restarts, or single points of failure threatening printing company-wide.
- Secure Release live across every region, with authentication matched to local requirements: PIN, badge, or a blend of secure and direct printing.
Employees now get printers automatically provisioned and usable from any location. For IT, that means less time on tickets and more confidence in the infrastructure underneath.
As Sunny Sahdev, Head of Enterprise Workplace and Platform Services at BayWa r.e., put it, "With PrinterLogic, we were able to significantly simplify our global print infrastructure while dramatically reducing support effort. We were particularly impressed by the combination of serverless architecture, intuitive centralized administration, and secure printing processes."
The Pattern Here Is Familiar
Fragmented legacy servers, inconsistent regional setups, and mounting helpdesk tickets are problems IT teams at global organizations run into again and again. Most keep working around them rather than replacing the infrastructure causing them.
BayWa r.e. took the other path: a validated proof-of-concept, a global rollout, and years of accumulated print server risk resolved without disrupting the business.
For IT teams still managing print servers across multiple regions, the question worth asking is whether that infrastructure is helping the business or just barely holding it together.
