Top 4 Benefits of Pull Printing

Most organizations don't think about pull printing until something goes wrong: a confidential contract sits in an output tray for an hour before anyone claims it, a stack of unclaimed pages piles up next to the printer every Friday, or an auditor asks who printed a sensitive document and nobody knows. Pull printing solves all three problems, but it does a lot more than that. It's one of the simplest changes an IT team can make that pays off in security, cost, sustainability, and employee experience at the same time.

Pull printing (sometimes called secure release printing) changes the mechanics of a print job. Instead of a document going straight from a user's laptop to a printer, it's held securely in a queue until the user shows up and authenticates at the printer. Authentication can happen with a badge, a PIN, or a mobile app. Only then does the page actually print.

That small delay changes everything about how print behaves in a business. The job follows the person, not the machine, so an employee can release it from whatever printer is closest instead of walking back to the one they originally sent it to. And because nothing prints until someone is standing there to collect it, documents stop piling up in output trays where anyone walking by can see them.

Print is a bigger risk than most people realize. Quocirca's 2026 Print Security Landscape found that 67% percent of organizations had experienced at least one print-related data loss incident in the past year. The average breach now costs around £1 million. Quocirca's study doesn't break these incidents down by cause, but a common and preventable scenario is the unattended printer: a job sitting face-up on a shared tray is a document with no chain of custody. It could contain payroll data, a contract, a legal filing, or patient information, and once it's printed, anyone can pick it up.

Pull printing closes that gap by tying every job to an authenticated identity. Nothing physically prints until the right person is standing at the device, and every release, hold, and cancellation is logged. That audit trail matters well beyond a single embarrassing incident. It gives security and compliance teams a complete, timestamped record of who printed what, where, and when, which is exactly what auditors and regulators ask for when they review data handling practices.

Regulators don't treat printed documents as lower-risk just because they're on paper instead of a screen. The obligation to protect PHI or PII extends to physical records. The European Union General Data Protection Regulation (GDPR) isn’t limited to electronic storage or processing of data. Safeguards have to be in place to protect and track any personal data that might be printed.

Print is one of the most underestimated line items in a company's budget, and a meaningful share of it is pure waste. Someone prints a page, then gets pulled into a meeting, changes their mind, or simply forgets, leading to waste. That's paper, toner, and machine wear spent on documents nobody wanted badly enough to walk over and grab.

Because pull printing only releases a job when someone actually shows up to authenticate it, it eliminates most of that waste by design. Forgotten jobs, duplicate jobs sent "just in case," and print-and-forget habits all but disappear, because the printer never commits ink to paper until a person confirms they still want it. Fewer wasted pages also means fewer supply runs, less unplanned toner spend, and lower demands on the devices themselves, savings that show up in the budget even without a formal print management initiative in place.

Every page saved by pull printing also saves a few milliliters of toner, and a bit of machine wear that the planet doesn't have to absorb. Multiply that across a few hundred or a few thousand employees, and it's easy to see how a reduction in wasted print jobs turns into a meaningful drop in paper, toner, and machine wear over a year. Sustainability goals are increasingly part of how organizations evaluate their vendors and their own operations, and pull printing is one of the rare IT changes that reduces environmental impact without asking employees to change their behavior at all. They print the same way they always have; the system is just smarter about when that print job actually becomes paper.

Security and cost tend to get top billing, but the day-to-day experience improvements are just as real. Employees are no longer tied to one printer. They can send a job, walk to whichever device is closest or least busy, and release it there, which matters enormously in open offices, multi-floor buildings, and hybrid work environments where nobody sits near the printer they used yesterday.

For IT, the benefits compound. Centralized reporting shows exactly how each department and each person uses print resources, which makes budgeting, chargebacks, and quota enforcement far less of a guessing game, and it gives helpdesk teams a clear record to check before a ticket even needs to be opened. And because pull printing integrates with the identity systems organizations already use, rolling it out doesn't mean building a new authentication system from scratch.

It's easy to file pull printing under "nice to have," but the numbers say otherwise. It touches security posture, operating costs, sustainability metrics, and everyday employee experience all at once, and it does so without asking anyone to change how they work. That combination, meaningful impact with minimal friction, is rare in IT, and it's exactly why pull printing has become a default expectation for modern print environments rather than an optional add-on.

The Advanced Security Add-on by Vasion has secure release pull printing for badge release, PIN release, and mobile release across virtually any printer brand, no legacy print servers required. If your organization hasn't looked at pull printing recently, or has printers running without it, it's worth a second look. See it for yourself by scheduling a demo.
