Most print environments are still running on infrastructure designed two decades ago, long before AI, zero trust, and cloud-native architecture reshaped enterprise IT. In this conversation, Vasion's new Chief Product Officer Scott Lee joins to unpack why that gap matters more than most leaders realize. From the hidden six-figure cost of running print servers, to the compliance exposure of unattended documents, to the surprising fact that most printed pages are too unstructured for AI to even use, Scott lays out why print has quietly become one of the biggest blockers to enterprise AI transformation. He also shares the three pillars of intelligent print automation and the questions every IT leader should be asking about their own environment.
In this episode:
Introductions Scott Lee joins as Vasion's new Chief Product Officer, bringing experience from automotive, dealership AI, corporate donations, and enterprise work management at companies like Workfront, Adobe, Benevity, and ConnectWise.
The outdated state of print environments Many print environments still operate exactly as they were designed 20 years ago. Scott points to how dramatically the technology landscape has shifted since then, especially with the rise of AI.
Print as a security risk, budget leak, and AI blocker Print isn't just an IT housekeeping issue. Scott notes that of the trillions of pages printed globally each year, only a small fraction contain structured data AI can actually read, making print a real bottleneck for AI initiatives.
Industries that still rely on print Manufacturing, shipping, and healthcare will keep relying on print for the foreseeable future. Scott raises a deeper question: what does it really mean to "print," and what happens the moment a document moves from structured digital data to unstructured paper.
The hidden costs of print infrastructure Beyond hardware and licensing, enterprises with 1,000+ employees spend well over $200K per year on print server acquisition and management alone, representing a meaningful slice of total IT budget.
Print servers as a single point of failure Traditional print server architecture creates real operational risk. Scott shares an example of dealerships unable to print contracts for over a week due to a system failure, and the conversation touches on the industry-wide impact of the 2021 PrintNightmare vulnerability.
Security and data breach risks Unattended documents sitting in printer trays create real vulnerabilities, with no audit trail or chain of custody. Scott cites a rising rate of printer-related data breaches year over year, with average breach costs well over a million dollars.
The three pillars of intelligent print automation Scott breaks down the framework: modernizing infrastructure with cloud-native, serverless, zero-trust architecture; consolidating end-user and system printing onto a single control plane; and automating workflows so printers become intelligent triggers for approval, data extraction, and archiving.
Compliance and regulatory risk The conversation covers the real financial exposure of non-compliant print environments, from GDPR to HIPAA to financial services regulations, with fines ranging from hundreds of thousands to tens of millions of dollars.
Security and compliance confidence Scott speaks to Vasion's FedRAMP High authorization and the security controls built into the platform, and why that gives him confidence in the product.
Print as an AI enabler Billions of pages move through Vasion's platform every year, yet only a fraction is structured enough for AI to use. Scott argues that organizations investing heavily in AI while maintaining legacy print infrastructure are creating their own bottleneck, and that modernizing print is what actually unlocks AI value.
Key questions for IT leaders Scott leaves leaders with three questions to ask about their own environment: what's the fully loaded cost of print, is there a real audit trail for every document, and is print helping or blocking AI transformation.
Closing takeaway Asked what organizations most underestimate about modernizing print, Scott says it's simply how much easier the process is than expected, pointing to the thousands of customers who've already made the shift, while cautioning that the next wave of AI, security, and cost pressures still demands attention.
